Guidelines for Children Attending AMS Events
The Academy of Marketing Science® (AMS) is committed to fostering an inclusive and enriching environment at our conferences. Recognizing that some AMS Fellows may have their children accompanying them to the conference location, we want to accommodate such circumstances to promote a professional and welcoming environment. The following guidelines are intended to ensure the smooth functioning of the conference and the comfort of all attendees.
General Guidelines:
Definition: A child is any person under the age of 18.
AMS Fellows should feel encouraged to attend conference events when traveling with their children. Children of registered AMS conference attendees are welcome to accompany their parent or guardian, provided they are supervised at all times and do not disrupt the event. However, their attendance must adhere to venue regulations and conference policies for health, safety, and appropriate conduct. Additionally, tickets are required for entry to luncheons, dinners, and social events, which can be purchased for guests of all ages. Children attending these events will receive the same food as registered attendees, as a separate children's menu is not provided.
• AMS policies may at times conflict with those of the event property. In such cases, the event venue policies take precedence due to legal obligations.
Compliance with Hotel or Venue Policies:
Attendees are expected to familiarize themselves with and comply with all policies of the hosting venue or other private premises, particularly those related to children's attendance. Non-compliance with hotel or venue policies may result in consequences determined by the venue management, and AMS is not liable for any such consequences. Individuals are responsible for their own liability for any infringements of venue policy or damage caused to the venue.
Special Accommodations:
For any special accommodation needed for children, such as childcare services, it is recommended to reach out to the hosting hotel or venue directly. Such services may not always be available, and AMS does not coordinate or provide them.
Distraction Rule:
Attendees with children are responsible for ensuring that their children do not disrupt conference sessions or events. If a child becomes disruptive during a session, the parent or guardian should address the situation promptly and, if necessary, temporarily leave the session. In rare cases where the disruption persists and hinders the experience of other attendees, an AMS representative may ask the parent or guardian and the child to leave the event for the benefit of the overall conference experience. Attendees giving presentations or talks during sessions should arrange for an additional caregiver to supervise their child during these times.
Liability Acknowledgment:
Children must always be supervised by a responsible adult aged 21 or older. Attendees acknowledge that both AMS and the hosting venue hold no liability for any issues or consequences arising from non-compliance with hotel or venue policies.
AMS values the diversity of its participants and is dedicated to creating a conducive environment for the exchange of marketing knowledge. By adhering to these guidelines, attendees with children can contribute to a positive and productive conference experience for all.
